Set Up Estimate Templates

Estimate Templates reduce the need for you to type out a new letter for each Estimate you provide. When it comes to sending the Estimate, simply enter the required information and CommuSoft does the rest. 

A different Template needs to be set up for each type of Estimate you carry out.

To create a Template go to General > Preferences.

Estimate Module > Setup Estimate Templates:

At the top of the following page you need to choose a Type. In this case the Type determines what you call your Estimates. Select Estimate, Quotation or Quote. This is what will be printed on your Letters.

Next, name your estimate. Here we have gone for Estimate and Radiator Install.

Enter the name in the name field.

Click next.

The name of the Estimate Template will then appear in the list below:

Now you need to add some information to the template.

Click on the Estimate name (in the above case ‘Radiator Install’) to open the template details.

Click on ‘Estimate Content’ tab to display what information will actually appear on the print out.  

You will notice that the Type and Name appear above the introduction. 

Estimate templates are made up of an ‘Introduction’ and a ‘Body’.  The introduction is usually a standard set of text, for example ‘Thank you for letting us come and quote you for your new heating system’. 

To edit the introduction simply click on the area ‘Introduction’.

 You will be presented with the following screen where you can type and edit the content of the Introduction


The introduction supports a system called ‘Tagging’.  This allows you to add the customers name into the description by typing:

Dear [title] [surname]

CommuSoft would replace title and surname with those of your customer. So, for example, if a customer called Mr Smith rings you to come and quote for a new boiler, you’d raise an estimate for the customer.  When you come to send the estimate to the customer, CommuSoft will replace [title] with Mr and [surname] with Smith.

Its important to note, you should keep your introduction small and simple, don’t put any further details about the actual estimate in the introduction as they wont be transferred through to the job.

Click Save

Next, set up the ‘body’ of the estimate.  To do this simply click on the ‘Body’ (last box on screen).


This box holds the main body of the estimate, including information on what you intend to do, warranties, clean up and all further information.

The Body supports ‘Dynamic Tagging’ which is DIFFERENT TO TAGGING.

This allows you to fill in particular details on your estimate for each customer when you come to send the Estimate.

To supply and fit a {make} {boiler type} {model} with {number of radiators} radiators running {number of zones} zones.

In this example ‘make’ ‘boiler type’ ‘model’ ‘number of radiators’ and ‘number of zones’ are all variables which change depending on the customer.

The text within the {Curly Brackets} can be anything you like, and will appear later in the Estimate process as fields for you to fill in, when you know more about the individual Estimate. 

Click Save and your Template is complete
